This Privacy Policy describes how your personal data is collected, used, and shared when you visit newschools.ai (the "Platform").

01 What data we collect

When you visit the Platform we automatically collect certain information about your device, including your web browser, IP address, time zone, and cookies installed on your device. As you browse we also collect data about the individual pages or features you interact with and the search terms that brought you here.

We refer to this automatically collected information as Device Data. We collect it using:

  • Cookies — data files placed on your device that often contain an anonymous unique identifier.
  • Log files — records of actions on the Platform including IP address, browser type, internet provider, referring pages, and date/time stamps.

When you create an account we collect your name, email address, and any profile information you choose to provide. If you create a school or publish content on the Platform we also store that content and associated metadata.

If you connect a payment method we collect billing information required to process your subscription. Payment card data is never stored on our servers — it is handled directly by our payment provider.

02 How we use your data

We use the data we collect to:

  • Provide and improve the Platform and its AI-powered features.
  • Personalise your experience and the learning journeys on your school.
  • Process payments and manage your subscription.
  • Send you transactional emails (account confirmation, billing receipts, password resets).
  • Contact you when you have explicitly requested it — for example, when you submit a demo request or support enquiry. We will only use your contact details to respond to your specific request and will not add you to any marketing list without your consent.
  • Screen uploaded content against our content policy using automated moderation tools.
  • Monitor for potential risks, fraud, and abuse.
  • Analyse how users navigate the Platform to improve our product and measure the effectiveness of our marketing.

03 Who we share your data with

We only share your personal data with third parties that help us operate the Platform. These include:

  • Firebase (Google)authentication, database, and file storage. Read Google’s privacy policy at policies.google.com/privacy.
  • Google Geminipowers the AI teachers. Conversation content is processed by Google’s Gemini models subject to Google’s privacy policy. We do not use your data to train Google models.
  • Zepstores learner memory and conversation context so the AI teacher can personalise interactions over time. This includes conversation summaries, learning progress, and inferred learner facts. Data is retained for the duration of your enrolment. Read Zep’s privacy policy.
  • OpenAIused exclusively for content moderation to screen uploaded images and text against our content policy. Moderated content is not used to train OpenAI models. See OpenAI’s privacy policy.
  • Mollie — payment processing. Card and billing data is handled directly by Mollie under their privacy policy.
  • Google Analyticsto understand how users use the Platform. You can opt out at tools.google.com/dlpage/gaoptout.

We may also disclose your personal data to comply with applicable laws or regulations, to respond to a valid legal request, or to protect our rights.

04 Your rights

If you are located in the European Economic Area you have the right to access, correct, update, or request deletion of your personal data. You may exercise these rights by contacting us using the details below.

We process your personal data to perform the contract we have with you (providing the Platform) and to pursue the legitimate interests described above. Note that where data is processed by sub-processors (such as OpenAI and Google) it may be transferred to countries outside the EEA, including the United States.

You can delete your account at any time from your profile settings. This will permanently remove your personal data from our systems within 30 days.

You can request a full export of your personal data — including your profile, conversation history, and learner memory — at any time by emailing hello@newschools.ai. We will respond within 30 days.

05 Data retention

We retain your personal data for as long as your account is active or as needed to provide the Platform. When you delete your account, we remove your personal data from our active systems within 30 days. Anonymised analytics data may be retained indefinitely.

06 Cookies

We use cookies to keep you signed in (session cookies) and to understand Platform usage (analytics cookies). You can disable cookies in your browser settings at any time. Note that disabling session cookies will prevent you from logging in.

07 Changes

We may update this Privacy Policy from time to time to reflect changes in our practices, for operational reasons, or to comply with legal requirements. When we do, we will update the date at the top of this page.
