Policy

When you visit the Platform our servers receive the technical information every browser sends with a request: your IP address, your browser type and the page you ask for. We use it to deliver the page, to protect sign-in, registration and contact forms against abuse, and to add your visit to an anonymous daily count of visits to school pages (see section 08). We do not build a profile of you from it.

We refer to this automatically collected information as Device Data. We collect it using:

• —Cookies — small files that keep you signed in, keep your session secure and remember your language. We use no analytics or advertising cookies.
• —Log files — technical records of requests to the Platform, such as the time, the page and any error. Where a record belongs to an account it carries the account’s ID, never your email address or name.

When you create an account we collect your name, email address, and any profile information you choose to provide. If you create a school or publish content on the Platform we also store that content and associated metadata. As a learner, we store the work you submit, such as photos and written answers, together with the feedback on it.

If you connect a payment method we collect billing information required to process your subscription. Payment card data is never stored on our servers — it is handled directly by our payment provider.

We use the data we collect to:

• —Provide and improve the Platform and its AI-powered features.
• —Personalise your experience and the learning journeys on your school.
• —Process payments and manage your subscription.
• —Send you transactional emails (account confirmation, billing receipts, password resets).
• —Contact you when you have explicitly requested it — for example, when you submit a demo request or support enquiry. We will only use your contact details to respond to your specific request and will not add you to any marketing list without your consent.
• —Screen uploaded content against our content policy using automated moderation tools.
• —Monitor for potential risks, fraud, and abuse.
• —Count visits to school pages without cookies and without identifying you: daily totals of how many people visit each page, where those visits came from (for example a school’s advertising campaign) and how many go on to sign up. Schools see these totals for their own pages, so they can tell how their pages work.

What you make on New Schools belongs to you. Schools and teachers keep the rights they hold in their courses, teaching materials, methods and uploads. Learners keep the rights they hold in their photos, writing and other work.

Uploading something does not give New Schools ownership of it, or a broad right to use it as we please. We only receive the limited permission we need to run the Platform for you: to store, process and back up your content, to show it where the Platform needs to (for example to your school), and to let the AI teachers read and answer it.

We never sell your content, and we never use it in our marketing unless you separately choose to allow that.

On New Photo Schools the photos you submit are not listed anywhere: in the Platform only you and your school see them, unless you choose otherwise. Each photo file has its own unguessable web address, and anyone who has that address can open the file.

• —You decide, photo by photo, whether a photo is shown in your school’s public gallery. Nothing is shared unless you choose it, and a new photo always starts private.
• —A shared photo is credited with your display name, never your full name. You can change your display name at any time.
• —Separately, you can allow New Schools and your school to use the photos you have shared in their marketing, such as the website and social media. This is off unless you turn it on, and it never applies to a photo you have not shared.
• —You can stop sharing a photo, or withdraw your marketing permission, at any time, in the Platform or by emailing us. A photo you stop sharing leaves the gallery straight away, and we will not use it in new marketing. Its web address does not change, so anyone who saved it can still open the file; email us if you want the file itself removed.
• —We keep a record of each choice (which photo, when, and which version of this notice you saw) so we can show that you agreed or withdrew.

We only share your personal data with third parties that help us operate the Platform. These include:

• —Firebase (Google) — authentication, database, and file storage. Read Google’s privacy policy at policies.google.com/privacy.
• —Google Gemini — powers the AI teachers. Conversation content is processed by Google’s Gemini models subject to Google’s privacy policy. We do not use your data to train Google models.
• —Zep — stores learner memory and conversation context so the AI teacher can personalise interactions over time. This includes conversation summaries, learning progress, and inferred learner facts. Data is retained for the duration of your enrolment. Read Zep’s privacy policy.
• —OpenAI — used exclusively for content moderation to screen uploaded images and text against our content policy. Moderated content is not used to train OpenAI models. See OpenAI’s privacy policy.
• —Mollie — payment processing. Card and billing data is handled directly by Mollie under their privacy policy.
• —ElevenLabs — turns teacher replies into speech when you choose to listen to them. The text of those replies is sent to ElevenLabs in the United States. See ElevenLabs’ privacy policy.

We may also disclose your personal data to comply with applicable laws or regulations, to respond to a valid legal request, or to protect our rights.

If you are located in the European Economic Area you have the right to access, correct, update, or request deletion of your personal data. You may exercise these rights by contacting us using the details below.

We process your personal data to perform the contract we have with you (providing the Platform) and to pursue the legitimate interests described above. Sharing your photos publicly or in marketing is based only on your consent. Note that where data is processed by sub-processors (such as OpenAI, Google and ElevenLabs) it may be transferred to countries outside the EEA, including the United States.

You can ask us to delete your account at any time by emailing hello@newschools.ai. We remove your personal data from our active systems within 30 days.

You can request a full export of your personal data — including your profile, conversation history, and learner memory — at any time by emailing hello@newschools.ai. We will respond within 30 days.

We retain your personal data for as long as your account is active or as needed to provide the Platform. When your account is deleted, we remove your personal data from our active systems within 30 days. Visit counts are daily totals that contain no personal data; we keep them for 25 months.

We only use cookies the Platform needs to work: one that keeps you signed in, one that protects forms against cross-site attacks, one that remembers your language, and one that connects your visit to your account when you sign in. We do not use analytics or advertising cookies, and we do not use Google Analytics. Some things are kept in your browser’s storage instead of a cookie, such as your sign-in with our authentication provider (Firebase) and preferences like light or dark mode. Disabling cookies in your browser will prevent you from signing in.

We count visits to school pages without cookies and without storing anything on your device. When a page loads, your browser tells our server which school or course page it is and, if you arrived through a link with campaign tags or from another website, where you came from. We add that to a daily total and keep nothing that identifies you: no IP address, no identifier, no profile. The totals stay with us and the school concerned and are never shared with advertisers. Because this counting has little or no consequence for your privacy, Dutch law does not require your consent for it.

We may update this Privacy Policy from time to time to reflect changes in our practices, for operational reasons, or to comply with legal requirements. When we do, we will update the date at the top of this page.
